Overview

General Summary of the Position

The Human Resources Specialist provides comprehensive Human Resources support by assisting and coordinating a variety of HR programs, processes, and initiatives that contribute to the effective operation of the Human Resources Department. This position partners with the Human Resources team to deliver responsive high-quality support to employees, managers and clergy, while maintaining the highest standard of confidentiality and professionalism when handling sensitive information. The Human Resources Specialist exercises sound judgment, prioritizes multiple priorities, and assists with Human Resources initiatives in collaboration with internal stakeholders while supporting the vision and mission of the Diocese of Dallas.

Essential Duties and Responsibilities of the Position

  • Support the administration and execution of Human Resources programs, processes, and initiatives to ensure the effective delivery of HR services.
  • Maintain accurate and complete employee personnel records in accordance with recordkeeping requirements and Human Resources standards. Serve as a resource to employees, managers, and clergy, providing timely, accurate and professional guidance. Assist with the administration and coordination of employee lifecycle activities, including onboarding, employment changes, performance management processes, employee recognition programs, and offboarding activities.
  • Support the seamless transition of employees entering and exiting the organization through effective communication, coordination, and collaboration with internal stakeholders. Prepare, maintain, and distribute Human Resources reports, workforce metrics, and organizational information and other HR related information to support departmental operations and decision-making.
  • Maintain the confidentiality and accuracy of sensitive employee information while exercising sound judgment and professionalism.
  • Provide administrative and operational support for Human Resources projects, departmental initiatives, and day-to-day activities.
  • Prepare reports, spreadsheets, and HR correspondence as requested.
  • Coordinate training sessions, meetings, and employee events.
  • Maintain an adequate inventory of Human Resources office supplies to support departmental operations. Receive and distribute HR related mail and correspondence in a timely, accurate and confidential manner.
  • Provide exceptional customer service by addressing employee inquiries and assisting with the resolution of routine Human Resources matters in a timely and professional manner or direct them to the appropriate HR team member
  • Perform other administrative and clerical duties and special projects assigned in support of the Senior Director of Human Resources.

Knowledge, Skills and Abilities:

  • Experience working in a professional office environment preferably supporting Human Resources functions.
  • Excellent written, verbal and interpersonal communication skills with the ability to communicate effectively and professionally with employees, managers and clergy.
  • Proficiency with HRIS systems and Microsoft Office applications including Word, Excel, Outlook, PowerPoint, Teams, Access, Visio and Project
  • Ability to provide exceptional customer service and serve as a welcoming, professional point of contact for all individuals interacting with the Pastoral Center. Ability to adapt to new technologies and learn software applications, platforms, and systems as required to support departmental operations and organizational objectives.
  • Demonstrate a professional demeanor, positive attitude, and appropriate business appearance consistent with the standards and values of the Diocese of Dallas.  Ability to exercise sound judgement, analyze complex situations, and resolve practical problems effectively while managing multiple priorities and adapting to changing circumstances. Professional telephone presence with the ability to communicate effectively, courteously, and confidentially while providing exceptional service and support to employees, clergy and visitors.
  • Working Knowledge of general business and HR principles and procedures.
  • Ability to work autonomously and proactively, taking ownership of responsibilities and exercising sound judgment to support Human Resources projects and operations.

 

Education and Experience:

  • Associate degree in Human Resources, Business Administration, or related field preferred; relevant experience in Human Resources or a professional office environment may be considered in lieu of formal education.
  • Two (2) to four (4) years of administrative experience, preferably within a Human Resources department.
  • Strong organizational and time management skills with the ability to prioritize and manage multiple assignments, deadlines, and competing demands in a fast-paced environment.
  • Strong attention to detail and customer service.
  • Experience working in a nonprofit organization is preferred.

 

 

Special Requirements:

  • Must be available to work on-site at the Pastoral Center from 9AM to 4PM, Monday through Thursday
  • Practicing Catholic in good standing preferred, with an understanding of and commitment to supporting the mission, values, and teachings of the Catholic Church and the Diocese of Dallas.
