Qualifications
 

  • Has experience in handling the bookkeeping and tax return preparation tasks.
  • Strong skills in Stripe or similar to handle the bookkeeping tasks for clients.
  • Email management
  • Client relationship management
  • Billing collections and Financial reconciliation
  • An accounting or tax background is preferable
  • Exhibits familiarity with specific needs and dedication to each client.
  • Prioritizes secure data handling, with a strong emphasis on safeguarding clients' financial information through secure login procedures, data encryption, and audit controls.
  • Demonstrates the ability to learn and adapt quickly to new tools or unique client situations that may arise, ensuring accurate and responsive service.
  • Maintains high standards of oversight and quality control, allowing for review and approval of all work before it is finalized and shared with clients
  • Insight and Rhythm Management
  • Weekly pulse scan: schedule, inbox, bottlenecks. 15-min Friday alignment call. Summaries of weekly outcomes.
  • Has an existing home office setup with a conducive work environment
  • Computer or laptop with specs of at least core i5 or higher/7th gen or newer, or its AMD equivalent, 16GB RAM, functional camera, noise-canceling headset, and dual monitor
  • A stable internet connection with at least 25 Mbps upload and download
  • Back-up power/internet is required
 

Scope of work
 

  • Invoices & Data Entry (enter supplier invoices into accounting, code to jobs and maintain audit trail.)
  • Payroll & QuickBooks (payroll entry and bookkeeping in QuickBooks.)
  • Monthly Accruals & Reconciliation (month-end accruals and reconciling GL vs. job records.)
  • Subcontractor Pay & In-House Payroll (process subcontractor payments and payroll for in-house crews.)
  • Job Costing (collect, match and analyze job revenue and expenses to determine true profitability.)
  • Other accounting tasks to be assigned as needed.
