About the Role:

The Accounting Assistant plays a crucial role in supporting the corporate office by ensuring accurate and timely processing of financial transactions. This position is responsible for maintaining organized financial records, assisting with with managing accounts payable and receivable functions. The role contributes to the overall financial health of the organization by helping to prepare reports and ensuring compliance with accounting standards and company policies. The Accounting Assistant works closely with other team members and the CFO to streamline accounting processes and support payroll activities. Ultimately, this position helps maintain the integrity of financial data, enabling informed decision-making by management.

Minimum Qualifications:

  • High school diploma or equivalent required; Associate’s degree in Accounting or related field preferred.
  • Proven experience with bank reconciliation, accounts payable, and accounts receivable processes.
  • Proficiency in QuickBooks or similar accounting software.
  • Basic understanding of general accounting principles and cost accounting.
  • Familiarity with payroll, payroll tax regulations, and processing.

Responsibilities:

As an Accounting Assistant, your daily duties will include but may not be limited to: 

  • Process accounts payable invoices and ensure timely payments to vendors.
  • Manage accounts receivable by preparing and sending invoices and following up on outstanding payments.
  • Assist in general accounting tasks including journal entries, ledger maintenance, and account reconciliations.
  • Support payroll processing and ensure compliance with relevant tax regulations.
  • Utilize QuickBooks software to record and track financial transactions accurately.
  • Maintain organized and up-to-date financial documentation and records.

Skills:

The required skills such as bank reconciliation, accounts payable, and accounts receivable are essential for maintaining accurate financial records and ensuring smooth cash flow management. Proficiency in QuickBooks enables the Accounting Assistant to efficiently record transactions, generate reports, and streamline accounting workflows. General accounting knowledge supports the preparation of journal entries and account reconciliations, which are critical for accurate financial statements. Cost accounting skills help in analyzing expenses and supporting budgeting activities. Additionally, understanding payroll tax regulations ensures compliance and accurate payroll processing, which is vital for meeting legal requirements and avoiding penalties.
