Position Overview:

We are currently seeking an Accounts Payable Specialist to join our team. This position requires a proactive team player who will be responsible for ensuring timely and accurate payments by receiving, processing, verifying, and reconciling invoices on a daily basis. The role involves performing general accounting duties according to established procedures and as directed by the Accounting Manager.


Job Responsibilities:

  • Charge expenses to accounts and cost centers by analyzing invoice/expense reports and recording entries.
  • Establish and maintain relationships with new and existing vendors.
  • Pay vendors by monitoring discount opportunities, preparing checks, and resolving purchase order, invoice, or payment discrepancies.
  • Maintain accounting ledgers by verifying and posting account transactions.
  • Verify vendor accounts by reconciling monthly statements and related transactions.
  • Accomplish accounting and organizational missions by completing related results as needed.
  • Manage accounts payable using accounting software and other programs (QuickBooks).
  • Handle accounts payable for separate entities and vendors.
  • Ensure bills are paid in a timely and accurate manner while adhering to departmental procedures.
  • Process due invoices for payments and ensure timely processing.
  • Perform accounting duties such as account maintenance, recording entries, and reconciling books of accounts.
  • Protect the organization's value by maintaining confidentiality of information.
  • Complete all other duties as assigned by the CFO.

Qualifications:

  • 3 years of experience in accounting.
  • Competency with QuickBooks, Excel, and other accounting tools.
  • Expert-level knowledge of spreadsheets and proficiency in word processing tools for generating and writing reports for record-keeping and presentations.
  • Experience with general ledgers is essential.
  • Competence in financial and bookkeeping software is necessary.
  • Understanding of current accounting trends is a plus.
  • Strong data entry skills and comfortable with math and calculations.
  • Good listening and communication skills and organization Skills.
  • Strong attention to detail.
  • Budget creation and finance management experience is desirable.
