The Customer Service Representative - Appointment Scheduler is responsible for performing a variety of administrative and communication tasks to support the daily operations of the company. This includes managing high-volume scheduling, coordinating service windows, and providing top-tier support to our client base. The ideal candidate will be a highly organized professional with a strong attention to detail and a commitment to customer satisfaction.

Responsibilities:

  • Managing incoming calls and emails to schedule, reschedule, or cancel service appointments and consultations.

  • Coordinating with field technicians or sales teams to ensure optimal routing and efficient use of daily time slots.

  • Reviewing customer accounts and service history to ensure all data is accurate and up-to-date before confirming appointments.

  • Advising customers on preparation requirements for their upcoming visits and ensuring all follow-up communications are handled promptly.

  • Maintaining a clean and organized digital database by documenting all customer interactions and scheduling changes in real-time.

  • Working in a fast-paced office environment that requires multitasking and the ability to resolve scheduling conflicts calmly.

Requirements:

  • Having 2+ years of experience in a customer service or high-volume scheduling role is preferred 

  • Requires excellent verbal and written communication skills to ensure information is clearly relayed to both clients and staff

  • Demonstrates proficiency with computer systems, including Microsoft Office and specialized scheduling or CRM software

  • Able to meet the demands of a professional office environment, including extended periods of computer use and frequent phone interaction

  • Possesses strong problem-solving abilities and works productively within a team setting
